One register, set up for the way you earn

Pick your kind of business at sign-up. The words, fees, accounts and taxes follow it, so a gym sees members and memberships and an academy sees students and fee vouchers.

Gyms and fitness centres

  • Monthly, quarterly and yearly memberships, personal training, and a one-time admission fee kept apart
  • Supplements and drinks with expiry dates; gym wear in sizes
  • Juice bar sales at the counter

Provincial sales tax on services; FBR sales tax on supplements and gym wear

Schools, academies and tuition centres

  • Monthly or quarterly tuition, admission, exam and van fees, each on its own income account
  • Books, stationery and uniforms sold from your own stock
  • Fee reminders addressed to the parent, naming the student

Sales tax starts switched off, since education is often exempt; turn it on if you are registered

What it does for you each day

Know who hasn't paid, every morning

Each fee is raised on its own renewal day. Anyone unpaid the next day lands on the defaulter list with how many days late they are.

Remind on WhatsApp in one tap

The reminder is written for you, with the amount, the due date and a link to the invoice. For a student it goes to the parent.

Stock that counts itself

Supplements with expiry dates, gym wear in sizes, books and uniforms. Stock goes up when a bill comes in and down when you sell, with cost and margin on every sale.

Bills, vendors and purchase orders

Order from your distributor or supplier, receive the delivery into a bill, and see what you owe and when it is due.

Salaries and advances

Trainers, teachers and staff on one payroll each month. Advances are taken back from their pay automatically.

Reports your accountant trusts

Profit and loss with gross profit per product, balance sheet, trial balance, and tax summaries. Everything comes from one double-entry ledger.

  • Start from the Excel list of members or students you already keep
  • Works in the phone's browser; add it to the home screen
  • Owner, accountant and front-desk roles, each seeing only what they need

For accountants who look after gyms and schools

Every entry is double-entry and can only be reversed, never edited, so the books you sign off stay the books. Switch between client businesses with one login, and see the journal, trial balance, payables and tax summaries without asking the client for a spreadsheet.

Questions owners ask

Do I need to know accounting?

No. You record what happens: a fee received, a bill from your supplier, a T-shirt or a textbook sold. The debits and credits are done for you, and your accountant can see the full books.

Can my accountant work in it too?

Yes. Add them with the Accountant role. They see reports, the journal and the chart of accounts, and one login can look after many businesses.

How are taxes handled?

Services such as memberships and training carry your province's sales tax on services; goods such as supplements and gym wear carry FBR sales tax. For schools and academies both start switched off, since education is often exempt. Rates are set up from your province and can be changed in Settings. Confirm what applies to you with your tax adviser.

Can front-desk staff see our profit?

No. Staff can add members or students, raise invoices, take payments and sell at the counter. Profit, expenses, bills, payroll and reports are only for the owner and accountant.

Is my data safe?

Each business's data is kept separate, every change is recorded in an activity log, and posted entries are never edited or deleted, only reversed. The database is backed up every day.

What does it cost?

Book Ledger is free to start while we work with our first gyms and academies. Sign up and use it with your own members or students.
